{690} - 1.1 Customer Service

The department of customer service manages the relationships between UGA Alumni Association members, the Association and the University, its schools and colleges, UGA alumni and friends, and visitors and callers to the Association.

In addition to providing administrative assistance for the Association, the department of customer service is also responsible for the following programs:

  1. UGARA
    1. The UGA Alumni Association provides administrative support to the UGA Retirees Association
  2.   Daily Online Community Updates
    1. Help retrieve usernames and passwords
    2. update addresses and email addresses
    3. help people register on the Online Community
    4. help poeple set up a permanent forwarding email
    5. help people post Class Notes
    6. give assistance with general problems and problems with the system
  3. Facilitate Campus Support Fund & AE Advisory Committee
    1. Student organizations or UGA schools and colleges may request funding from the Alumni Association for events and financial needs by making application for Campus Support Funds 
    2. The application is available online under "About Us"
    3. Once the application is received by the Alumni Association, the request is reviewed by the Alumni Employees Advisory Committee.  The committee makes a recommendation to the Alumni Association and the award is finalized by the executive director or Associate Executive Director John Finley
    4. The UGA entity is notified as to the amount of the award

  5. Event Planning (Founders' Day Lecture, Alumni Employees Breakfast,
  6. Faculty & Staff Authors Reception
    1. Faculty and  staff are notified by the newsletter and Columns that the reception will be held on the proposed date and if they authored a book over the last 24 months, they should contact the UGA Bookstore to get their books ordered for the event
    2. All authors who respond to the Bookstore get a notice/invitation to attend the event
  7. Adopt-a-Classroom presentations at Hilsman Middle School (shared with Tami)
  8.  Presidential Inaugural representative selections and administration
  9. Student scholar tracking and support
    1. All scholarships provided by the Alumni Association are handled by the office organizing the program
      1. The Honors Program manages the decision for the CURO Scholar, the Study Abroad program manages the decision for the Study Abroad  Fellow, the Financial Aid Office determines the Alumni Endowed Scholars, so all applications are managed in these offices and requirements are designated by those particular entities
    2. We keep the recipients notified of events that we want to invite them to, opportunities for them to present at board meetings of their experiences, and when they plan on graduating

    1. Monthly reports are made to each school and college letting them know
      1. what alums from their entity became a member of the Alumni Association that month
      2. what alums registered for alumni tours  during that month
      3. what  alums attended Alumni Association events associated with their school/college
      4. news clippings of their alums that month
      5. what alums participated through regional programs
  11. Updating alumni perpetual plaques
    1. Perpetual plaques located on the Reception area floor are updated with the appropriate award recipient plate.  
  12. Drafting of letters, updates on bylaws, proclamations, sympathy cards and annual report as designated by executive director
  13. Student worker hiring and supervision
    1. At this time, we hire Federal Work Study Students through the Student Financial Aid Office
    2. Students make application for these positions through the Student Financial Aid Office
    3. The Alumni Association interviews students that have signed up for work study and hiring is determined by the Alumni Association
